TOD Mentoring Platform

Privacy and data use

Mentoring only works when people can speak openly. This page sets out what the platform records, who can read each part of it, and what you can ask for.

The short version

Your mentoring conversations are confidential. Programme administrators can see that mentoring is happening and how it is progressing. They cannot read your mentor’s private reflections, and they cannot read your own module reflections.

What is recorded after each session

Your mentor completes a structured record. Each part has its own audience, and your mentor sees that stated while they write:

Session details

When the session happened, how long it ran, and who attended.

Visible to you, your mentee, and programme administrators

Shared record

The agreed account of the conversation. Your mentee will read this.

Visible to you, your mentee, and programme administrators

Private record

Your own reflection. Write freely — this is not part of the shared record.

Visible to you alone. Not shown to your mentee or to administrators, and excluded from every report

Support

Raise a concern if this relationship needs programme support.

Visible to you and programme administrators. Not shown to your mentee

“Your mentor only” means the mentor you are currently paired with. Mentors cannot see other mentors’ relationships.

When confidentiality has a limit

A mentor can raise a concern if a mentoring relationship needs programme support. Administrators are told what was raised so they can act on it. You can ask your administrator what has been recorded about you at any time, and you will be told.

Consent

Taking part is voluntary. Accepting an invitation means you agree to the platform holding the records described above for the duration of the programme. You can ask to leave the programme, and you can ask for a copy of what is held about you, by contacting your programme administrator or support@todarabia.com.

Security

Accounts are created by invitation, not public sign-up. Each role signs in through its own route, and every change to a booking is recorded with who made it and why. Passwords are stored hashed and are never visible to administrators.
